Planning Your Skype Session
  • Plan the Skype duration. – It is usually good to know the end time. You can go over but it means all parties are focused on making best use of the time alloted and means you do not make things drag on uncomfortably. Consider making it 15 - 20 minutes.
  • Know who you will be talking to – What is their Skype contact name. Set them up in your Skype software in advance and do a test to connect with each other. Are they in charge? Will they have a small group representing their event, or will they be trying to get a large group involved with the Skype?
  • Decide the Skype agenda - Will you start with introductions? Is someone assigned to describe your IPM Day events? When will the gift opening occur and who will do it on each end?
  • Prepare your group - Talking over each other doesn't work for Skype. There may be slight delays. People will have to be prepared to listen more carefully and speak more slowly than normal.
  • Do a practice Skype - If you are not a regular Skype user, download the software and have a couple of practice sessions to familiarize yourself with the interrface.
  • Make sure you are heard - Plan your microphone according to your group size. If you will only have one person in front of the screen at a time an on-computer microphone might be fine. If you will have a group of people speaking, you will need to use an external microphone. Make sure it works with your Skype computer prior to your event.
  • Do your risk management. Know the technology risks, which includes the possibility that Skype will be down at the time you planned to use it.  Have an agreed upon plan for what you will do in this event.
  • Determine if you will record the session - The standard, free verion of Skype allows sessions to be recorded.
  • Know how to end your session - Hanging up Skype is one of the things people don't think to practice, but you need to know how to do it so that your session doesn't end badly.
